Getting Started
EventIQ helps you find profitable events, track every dollar, and make smarter decisions about where to sell next. Here's the quick orientation:
- Create your account and complete the short onboarding to set up your vendor profile.
- Add your first event using the + Event button on the Home screen.
- As the event approaches, add costs. On the day, record your sales.
- After the event, complete your Event IQ rating to build your analytics over time.
Events
Every event goes through a pipeline from discovery to completion. Tap the status badge on any event to advance it.
Event Pipeline
| Status | What it means |
|---|---|
| Saved | You've noted the event but haven't applied yet. |
| Applied | Application submitted, waiting to hear back. |
| Accepted | You're in. Appears in your "Coming up" list on the Home screen. |
| Completed | Event is done. Included in analytics and P&L exports. |
| Declined | Application was rejected or you withdrew. |
Adding an Event
- Tap + Event on the Home screen or the Events tab.
- Enter the event name, start and end dates, venue, city/state, organizer, and booth fee.
- When typing the organizer name, suggestions from your existing organizers appear automatically — tap one to fill it in.
- Tap Save event. Use ✕ or Cancel to discard.
Event Detail Tabs
Tap any event to open its detail page. There are six tabs:

| IQ | Pre and post event ratings, plus your composite Event IQ Score. |
| CRM | Customers who signed up via your QR code at this event. |
Cost Tracking
Tracking costs accurately is what separates knowing your profit from guessing it. Add every cost — they all flow into your profit calculation and P&L export.
Adding a Cost
- Open an event and tap the Costs tab.
- Tap + Add cost.
- Choose a category, enter the amount, mark as paid or unpaid, set the date, and add optional notes.
- Tap Save.
To delete a cost, swipe left on the entry and tap Delete.
Cost Categories

Sales Tracking
There are three ways to record sales, each suited to a different situation. Tap + Add sale from the Sales tab and choose a mode.
Quick Entry — Ad-hoc sales
Best for products not in your catalog or when you want to log a sale in seconds.
- Type the dollar amount in the large number field.
- Tap the payment type: Cash, Square, Card, Venmo, Zelle, or Cash App.
- Confirm the sale date (defaults to today).
- Tap Record sale.
From Catalog — Inventory-linked sales
Best for products you track in your catalog. Automatically calculates COGS and deducts inventory.
- Tap From catalog mode and choose a product from the picker. Only in-stock products are shown.
- Enter the quantity sold.
- The actual sell price defaults to your suggested price — type a new price to override it.
- Review the live summary: Revenue, COGS, and Gross Profit.
- Choose payment type and sale date, then tap Record sale.
On save, the app automatically: records the revenue, creates a COGS cost entry, and deducts the sold quantity from your inventory. If you later delete or reverse a catalog sale, the inventory is automatically restored.
Import File — Bulk import
Best for importing end-of-day reports from Square or a spreadsheet.
- Tap Import file and choose a CSV or .xlsx file.
- Preview the rows (date, payment type, amount) before confirming.
- Tap Import to bulk-add all rows.
Product Catalog
The Catalog tab is your product database. It tracks what you sell, what it costs you, what you charge, and how many you have in stock.
Adding a Product
- Tap the Catalog tab in the bottom bar.
- Tap + Add product.
- Fill in: Name, SKU, Category, Sub-Category (optional), Vendor / Supplier (optional), Purchase Date (optional, YYYY-MM-DD), Cost (what you pay), Price (your selling price), and Quantity (units in stock).
- Tap Save.
Removing a Product Photo
Tap a product to edit it. If a photo is attached, tap Remove photo below the image to clear it. You can always add a new one by tapping the image area.
Stock Status
Each product shows a color-coded badge:

| 🔴 Out of Stock | Quantity = 0. Cannot be selected in the sales picker. |
Bulk Import from File
You can add many products at once using the import feature instead of entering them one by one.
- Tap ⬇ Template to download the product template. Fill it in with your products — one row per product.
- Save the file and tap ⬆ Import Products to pick it from your Files app.
- Preview the detected products and tap Import to add them all.
Supported File Formats
The app accepts Excel (.xlsx) and CSV files:

| CSV | File → Save As → CSV UTF-8 (.csv). Works well; product names containing commas are handled correctly. |
| Tab-delimited .txt | Also supported. The app auto-detects tab vs comma. |
Editing or Deleting
Tap any product to edit its details. Swipe left to delete — note that deleting a product won't remove historical sales records.
Deleting Multiple Products
To delete several products at once, use select mode.
- Long-press any product to enter select mode. That product is checked automatically.
- Tap additional products to check or uncheck them. Selected rows highlight in green.
- Tap Select All in the bottom bar to select everything, or Deselect All to start over.
- Tap Delete (X) and confirm to permanently remove the selected products.
Vendor & Inventory Intelligence
ProTrack which suppliers are your most profitable and how quickly their products move. These features require a Vendor name and Purchase Date on your products.
Adding Vendor Information
- Open any product and tap Vendor / Supplier. Start typing and existing vendors appear as suggestions — tap to select or type a new name.
- Set the Purchase Date (the date you bought the stock from that vendor).
- These fields can also be bulk-imported via the Excel template — the template includes Vendor and Purchase Date columns.
Vendor Performance (Analytics)
The Analytics screen shows a Vendor Performance card ranking your vendors by gross profit from catalog sales.

| Bottom vendors | Up to 5 vendors with the lowest gross profit — useful for renegotiating or dropping suppliers |
| Margin % | Gross profit as a percentage of sales revenue for each vendor |
Inventory Health (Analytics)
The Inventory Health card shows how long your stock has been sitting unsold, segmented into age buckets.
- Capital tied up by age — bar chart showing how much money is locked in fresh vs. aging vs. dead stock.
- Dead stock list — products that have exceeded your dead stock threshold without selling. Tap any threshold pill (30 / 45 / 60 / 90 / 120 days) to customise the cutoff to match your business. Your setting is saved automatically.
- Speed to sell by vendor — average days from purchase date to sale, ranked fastest first. Use this to identify which vendor's products fly off the shelf and which sit too long.
Inventory Age (Catalog Tab)
The Inventory tab in Catalog also shows an Inventory age section with the same age buckets and a dead stock list. The threshold you set in Analytics applies here too — no need to configure it twice.
Customer CRM
Build your customer list at every event using a QR code that customers scan themselves — no manual data entry needed.
Getting Customer Signups
- Open an event and tap the Info tab.
- Find the QR code section. Tap it to enlarge for easier scanning.
- Display the QR code at your booth — a printed sign, tablet, or phone all work.
- Customers scan it with their phone camera and fill in their name, contact preference (email/phone/both), and any notes.
- Their info appears instantly in the CRM tab of that event.
Viewing Customers
The CRM tab shows all signups for that event: name, email or phone, contact preference, and sign-up date. Tap any contact to open their full detail view — including any notes or message they left via the sign-up form.
Exporting Contacts
Tap Export to Excel (above the contact list) to download all contacts for that event as a spreadsheet. The file includes name, email, phone, contact preference, notes, and sign-up date. After tapping, your device will show a share sheet so you can save the file, email it, or open it in Excel, Numbers, or Google Sheets.
Consolidated CRM (Pro)
The Analytics screen shows all customers across every event in one place. It also automatically identifies repeat visitors — customers who signed up at more than one event — so you can spot your most loyal fans.
Event IQ Score
The Event IQ Score (0–5) is a composite rating that measures how well an event performed across three dimensions. Over time it helps you identify what makes your best events great — and what to avoid.

Pre-Event Ratings
Before attending, rate the event on 5 dimensions (1–5 scale): Brand fit, Customer match, Organizer reputation, Travel convenience, Overall excitement. These form your "prediction" score.
Post-Event Ratings
After the event, rate on 6 dimensions (1–5 scale): Traffic quality, Organizer quality, Booth experience, Customer quality, Marketing impact, Logistics.
Reading Your Score

Analytics
ProThe Analytics tab covers all your completed events. Pull down to refresh and get the latest data. Tap Export P&L in the top-right corner to download a spreadsheet.
Summary Stats
At a glance: total revenue, total profit, total costs, and average margin across all completed events.
Profit by Event
A horizontal bar chart ranking events by profit. Green bars are profitable events; red bars are losses. Longer bars = bigger absolute value.
"Go Again?" Score
Each event gets a 0–100 score and a recommendation:

Advanced Insights
Pro analytics includes: Booth fee ROI ranking, best months, location performance by state, payment method breakdown, cost drain by category, underperforming event alerts, consolidated CRM, Event IQ patterns, Vendor Performance (top & bottom vendors by gross profit), and Inventory Health (capital aging by age bucket, dead stock alerts, speed to sell by vendor).
P&L Export
ProExport your financials to Excel for accounting, tax prep, or your own records. Accessible from the Analytics screen (top-right button) or from any event's Report tab.
Single Event Export
Exports one event as a three-sheet Excel file:
- Summary sheet — event details, key metrics, cost and payment breakdown
- Costs sheet — every cost entry with category, description, and amount
- Sales sheet — every sale with date, payment method, and source
Date Range Export
Covers all completed events within a date window you choose. Exports as a three-sheet file:
- Overview sheet — all events with revenue, costs, profit, margin, and ROI
- All Costs sheet — every cost entry across all events
- All Sales sheet — every sale across all events
Profile & Subscription
Your Profile
Tap Profile in the bottom bar to update your display name, business name, and profile photo. Tap your avatar to choose a new photo from your camera roll. To remove your photo entirely, tap Remove photo below your avatar.
